BBE PTO JOB DESCRIPTIONS
Serving on the BBE PTO Board is a great way to be involved in the decision making process at Bush Elementary School,
meet people within our school community, and have lots of fun while making a positive impact on our school!
 In addition to the duties listed below, those serving in Voting Positions attend monthly Board Meetings (usually held on Thursdays 12:30 pm).
Board Members are also asked to volunteer to work at PTO Events in support of their fellow Board members.

VOTING POSITIONS

President

Leader and key contact of the PTO, presides at all PTO meetings, ex-officio member of most committees and coordinate the work of the officers and committees so that the PTO’s objectives can be met

Needs very good networking and representing skills. 

Time Commitment: year-round, on-going.

 

Vice President

 Deputy of PTO president, responsible for PTO memberships as well as community PTO events such as Ice Cream Social, Family Picnic and Field Day. 

Time Commitment: year-round,with peaks prior to events.

 

Secretary

 Writes and retains PTO meeting minutes and caretaking as well as distribution of general information necessary for board. 

Acts as parliamentarian for the board and assures the meetings are conducted in accordance with constitution bylaws. 

Time Commitment: 3-4 hours per month, including meetings and typing up minutes.

 

Treasurer & Vice Treasurer

 Book keeper of PTO budget/finances/filing in all means. Prepares financial reports and prepares books for audit and filing tax.

 Financial understanding, comfortable with processing of large deposits, transparent, reliable, accurate, familiar with Excel and stress resistant are job characteristics for this position. 

Time Commitment: 5-10 hours per week year-round. Currently shared with two board members.

 

Fundraising

 Coordinates the PTO’s fund-raising activities,  raising awareness of the PTOs work, goals and financial needs. 

Organizes the Underwriting and Business Sponsorship Campaigns and at least two fundraising events that bring BBE community together and promote the school spirit. 

Communication skills, stress resistant, endurance, entrepreneurial, organizational, creative, marketing & sales are helpful skills for the position.

Time Commitment: Year-round with very high workload before fundraising events and during fall Underwriting Campaign. Should be held by two co-chair board members.

 

Business Partnerships

 Raising funds for school via partnership with local business and responsible for spirit events and store loyalty/rewards programs. 

Good networking skills are needed to build & establish partnerships with local business. 

Time Commitment: 2 hours per week year-round.  Currently shared responsibility by two board members.

 

Directory

 Responsible to collect student information and creation of school directory.

Time Commitment: Project occurs September - November.  Co-chaired with two people.

 

Publicity

Publicize PTO related events and activities to the BBE community via weekly e-blast, social media and bi-yearly Bobchat flyer. 

Needs to be an excellent communicator with competence in written English.

Time Commitment: 3-4 hours per week

 

School Store Coordinator

Runs the school store, including ordering school supplies packs and apparel sold through the school store. 

Needs to be customer oriented with interest in interacting with the school children and their parents. 

Time Commitment: 3-4 hours year-round with peaks throughout the year particularly before school year starts during summer break.

 

Teacher Hospitality

Plan and host several events throughout the year to honor BBE teachers and staff in a creative and hospitable way. 

Time Commitment: 2-3 hours per week year-round with peaks during events. Teachers Welcome Breakfast and Year End Breakfast take place in first/last week of summer break. 

Ideally, co-chaired with two people.

 

Family Hospitality

 Organizes social events for Bush families such as Welcome Morning Coffee, Book Fair Dinner and 4th Grade Writing Night in a creative and hospitable way. 

Time Commitment: 2-3 hours per week year-round with peaks before scheduled events. Currently shared responsibility by two board members.

 

Safety

Ensures the awareness for safety among BBE community. Responsible for coordination of car pool numbers as well as running Safety Week twice a year. 

Presence during safety week expected, apart from that manageable to minor work load year-round. 

Time Commitment: 2 hours weekly.

 

Nature Center

Coordinates all activities related to the Nature Center including caretaking of outside garden, courtyard and grounds.

 Promotes engagement between teachers and Nature Center, creates events to bring families to Center with love for nature and willingness to work outside school hours.

Time Commitment: Hands on work year-round including out of school hours.

 

VIPS Coordinator

Coordinates all activities related to volunteer opportunities/necessities for PTO events throughout the school year. 

Interface between PTO board and room parents. Good networking and communication skills helpful. 

Time Commitment: 2 hours approx. per week with peaks before PTO events. Currently shared responsibility by two board members.

 

NON-VOTING POSITIONS

Website Coordinator

 Maintains PTO website, updates with events and new products for sale, monitors the “contact us” mailbox. 

Manageable work load with necessary communication, software skills, with minor graphic/web design capabilities as precondition.

Time Commitment: 1-2 hours approx. per week with peaks before PTO events. 

 

Birthday Book Club Coordinator

 Manages and organizes the registrations of students in the Birthday Book Club program.

Time Commitment: approx. one hour per week.

 

Music Coordinator

Works with the Music teacher, supporting her as needed and advocating for the BBE music program. 

General love and interest in Music helpful.

Time Commitment: 1-2 hours approx. per week.

 

Art Coordinator

Works with the Art teacher, supporting her as needed and advocating for the BBE art program. 

Helps with coordination of art works during Art Fair and rodeo season as well as tie dye program before yearly field day. 

General love and interest in Art helpful.

Time Commitment: 1-2 hours approx. per week with peaks during events.

 

Drama Coordinator

Works with the Drama teacher, supporting him as needed and advocating for the BBE drama program. 

General love and interest in drama/performing helpful.

Time Commitment: 1-2 hours approx. per week.


Library Coordinator

Works with the Librarian, supporting her as needed, coordinates volunteers for Library and advocates for the BBE Library. 

Additionally, responsible for organizing and coordinating Book Fair in Oct/Nov in cooperation with Librarian.

General love and interest in book and reading helpful.

Time Commitment: 1-2 hours approx. per week with peak during week before and week of Book Fair.


5th Grade Coordinator

 Coordinates needs and special programs of 5th grade as single point of contact for teachers instead of individual room parents. 

Responsible for coordination and financing aspects of graduation t-shirt as well as graduation party.

Time Commitment: 1-2 hours approx. per week with peak during Fifth Grade T-shirt ordering and last week of school.


PayPal Coordinator

 Processes incoming payments for online sales through PayPal and QuickBooks as part of the Treasury team.  

Accounting/bookkeeping experience not required, but helpful. Work can be done at home on one's own schedule.

Time Commitment: 1-3 hours approx. per week with peak during online sales events.
